Ever wondered what it takes to bring Party Conference to life?

Delivering Europe’s largest annual political gathering is no mean feat. It requires year-round planning and a cast of thousands on the day. For 2024, we’re reaching out to budding event professionals for assistance. We’re launching a new volunteer Conference Ambassador programme. Augmenting our dedicated Conference team for the duration of the event, we hope this short internship-style scheme can benefit us all.

As a Conference Ambassador, you’ll play a vital role in ensuring a seamless experience. Your responsibilities could include support in the accreditation zone, room management for fringe events, hosting duties for evening receptions, stewarding of the main stage or the liaison with third-party organisers and their speakers.  By offering your time, experience and enthusiasm, you’ll help create a memorable Conference for all and contribute to the continued success of this iconic event.

What’s in it for me?

With over 700 scheduled sessions, 3500 square feet of exhibition space and with well over 10,000 attendees (including 1,000 members of the world’s media), our event is one of the UK’s largest Conferences, with everything on a massive scale. You’ll gain hands-on experience in event delivery, logistics and customer service - enhancing your skills and your résumé.

When you're not scheduled to help, you'll have the freedom to immerse yourself in the conference's events and activities. Whether it's attending keynote speeches, participating in workshops, or exploring the exhibition hall, you'll have the flexibility to enjoy everything Conference has to offer.

If accommodation is required, it will be provided.  You'll receive a discretionary allowance to cover your meals during Conference. Furthermore, you'll receive a complimentary conference pass for the duration.

At the end of your ambassadorship, you'll be awarded a Certificate of Completion, serving as a valuable reference for your future endeavours.

Who should apply?

You’ll likely be studying for a MICE (Meetings, Incentives, Conferences & Exhibitions) or Hospitality related qualification or looking to gain practical experience to further your career in similar sectors. You’ll need to be available in Birmingham from Sunday 29th September to Wednesday 2nd October. It might surprise you to learn that many delegates to Conference, such as media and commercial guests, are not necessarily Conservative supporters – likewise, Conservative Party membership is not a pre-requisite for this role. But please be aware that all applicants will be subject to strict security vetting.  Please submit your application by August 16, 2024.

Conference Ambassador Programme

Ambassadors report to: Conference, Tours and Ops and Business Relations Teams

Essential roles and responsibilities:

Accreditation

Aim: To support the Conference registration and accreditation team to ensure timely administration of conference passes and resolve and provide any information requested. 

Overview: As a first point of contact for delegates, you would need to be presentable, approachable, and personable. 

You’ll be responsible for checking IDs of delegates, issuing their security pass, and signposting as requested. 

You’ll deal with a variety of stakeholders in a fast-paced environment and be required to use your own intuition to provide a resolution.

Exhibition and Commercial

Aim: To support the Conference commercial team in dealing with suppliers, venue operators and partners regarding any requirements/needs on site. 

Overview: You’ll look after the needs and requirements of dedicated space holders and act as a point of contact for any needs on site, answer queries and general information assistance. 

You’ll be required to work with the commercial manager to build a positive relationship with our marquee holders and assist with any issues. 

You’ll also assist in managing a variety of conference sponsors and partners, check in on their reception(s) and ensure they are running smoothly. 

This is suited for someone with good stakeholder management skills and a commercial mind.

Fringe

Aim: To support the Conference fringe manager with coordination of fringe speakers, technical staff, and delegates.

Overview: You'll be responsible for ensuring that our diverse range of fringe events run in a timely manner and are implemented with minimal disruptions. 

This role requires a high level of organisation with an interest in politics, media and/or production. 

Operations

Aim: To support the operations team to deliver ministerial visits during conference.

Overview: You’ll have a role (alongside the professional team), in handling media and liaising with host organisations and employees during visits planned for a range of cabinet ministers. 

This role will suit someone with an interest in business, media, or communications. 

Small to Medium Enterprise Day – Sunday, 29th September

Aim: To support the Business Engagement team with the delivery of SME Day.

Overview: You’ll be responsible for greeting speakers, delegates, MPs and Ministers, microphones, and logistics (room set-up and audio-visual equipment) ensuring the day runs smoothly. This role requires good organisation skills, attention to details and anticipating needs. The dress code is smart.

Business Day – Monday, 30th September

Aim: To support the Business Engagement team with the delivery of Business Day.

Overview: You'll be responsible for greeting speakers, delegates, MPs and Ministers, managing the roving microphones during Q&A sessions, and the overall logistics of the day (room set-up, seating plans and audio-visual equipment) ensuring the day runs smoothly.

This role requires good organisation skills, attention to details and anticipating needs. The dress code is smart. 

Business Dinner – Monday, 30th September

Aim: To support the Business Engagement team with the delivery of the Business Dinner. 

Overview: You’ll be responsible for greeting speakers, delegates, MPs and Ministers, managing the roving microphones during the Q&A session, and the overall logistics of the evening (room set-up, seating plans, and audio-visual equipment) ensuring the evening runs smoothly.

This role requires good organisation skills, attention to details and anticipating needs. The dress code is smart.
